Privacy Policy

This Policy explains how WorshipTeamAI collects, uses, shares, and protects information in connection with our websites, apps, and services (“Service”).

Privacy Policy

1) What we do

WorshipTeamAI provides tools for worship teams to plan setlists, store/preview media, analyze lyrics with AI, coordinate via email, and integrate with third parties (e.g., Planning Center Online “PCO”).

2) Information we collect

2.1 You provide to us

  • Account & Org data: name, email, password (hashed), organization/workspace membership and roles.
  • Content: audio files, lyrics, chord charts, PDFs/DOCX, titles/notes, and related metadata you upload.
  • Setlists & activity: items added, actions taken, practice analytics (non-voice content).
  • Support/Contact: messages sent via forms or email.
  • Booking: details you submit when scheduling demos/meetings.

2.2 Collected automatically

  • Usage & device data: IP address, browser, OS, device type, pages viewed, timestamps, referring/exit pages.
  • Cookies & similar tech: session/auth cookies, preferences, analytics and advertising pixels (see §7).

2.3 From integrations/third parties

  • PCO Integration: setlists, songs, attachments/links and related metadata as permitted by PCO scopes.
  • Scheduling: when you use Google Calendar booking embeds, Google may process data per its policies.

3) How we use information

  • Provide the Service (authentication, hosting, media rendering, collaboration).
  • AI features (e.g., theme/word stats/verse suggestions from lyrics text).
  • Communications (transactional emails, support).
  • Safety & integrity (debugging, security monitoring, abuse prevention).
  • Improvement (feature development, performance analytics, de-identified research).
  • Marketing, where permitted (ad pixels to measure and retarget; see §7).

4) AI processing

When you enable AI features, we send snippets of text you supply (e.g., lyrics extracted from PDFs) to model providers solely to return results (e.g., theme or keywords). We do not use your inputs/outputs to train our own models. Third-party providers process data per their policies. Current provider: OpenAI.

5) Bible verse APIs

We query third-party Bible APIs (e.g., ESV API) using the AI-derived theme or keywords to return references and snippets. We send queries, not your original files.

6) PCO (Planning Center Online)

If you connect PCO, we access only the scopes you grant. The onus is on PCO to grant appropriate rights. You must comply with PCO’s terms. Disconnect anytime from your org settings.

7) Cookies and advertising pixels

We use cookies and similar technologies to run the Service and, where permitted, ads.

  • Strictly necessary: session, auth, CSRF, org/workspace context.
  • Preferences: theme, UI choices.
  • Analytics: Google Analytics/Tag Manager.
  • Advertising: Facebook (Meta) Pixel, Google Ads, TikTok Pixel, and similar to measure conversions and build audiences.

Your choices: use your browser settings to block/clear cookies; where required, a cookie banner lets you opt-in/out of non-essential cookies; adjust ad preferences via Meta/Google/TikTok settings or industry opt-outs (NAI/DAA/EDAA).

9) Sharing information

We share with service providers under contracts restricting use to our instructions:

  • Hosting/infra: Vercel (hosting), Supabase (DB/Auth), Cloudinary (media).
  • AI: OpenAI (text analysis).
  • Email: Resend (transactional email).
  • Scheduling/embeds: Google Calendar.
  • Analytics & ads: Google, Meta, TikTok.

We may share as required by law, to protect rights/safety, or during a merger/acquisition (with notice).

10) Data retention

  • Account & org data: for your account’s lifetime.
  • Content (audio/lyrics/charts): until you/org delete it or your account closes.
  • System logs/debug: typically 30–90 days.
  • Backups: rolling windows (e.g., ~30–35 days).

We may retain minimal records to meet legal obligations or for dispute resolution.

11) Your rights & choices

Depending on your region, you may have rights to access, correct, delete, port, or object/restrict certain processing. Use in-product settings or contact us at privacy@worshipteam.ai. For org workspaces, requests may be routed through your org admin.

12) Children

The Service is not directed to children under 13 (or the age of digital consent in your region). Do not use the Service if you are under the applicable age.

13) Security

We apply industry-standard measures (encryption in transit, access controls, audit logging). No system is 100% secure; maintain local backups of important files.

14) International transfers

We may process and store data in the United States and other countries. Where required, we use appropriate safeguards (e.g., SCCs) for cross-border transfers.

15) Your responsibilities for uploads

You are responsible for ensuring you have the rights to upload, share, display, and (where applicable) print audio files, lyrics, and chord charts for your team (see Terms). If you upload third-party works, you must have permission.

16) “Do Not Track”

We do not respond to browser “Do Not Track” signals. Use the cookie banner (where available) and ad settings referenced above.

17) Changes to this Policy

We may update this Policy. The “Effective date” will change, and we’ll provide additional notice where required. Your continued use after changes means you accept the updated Policy.
